Outdoor Event Planning in Zimbabwe — Tents, Weather and Logistics

How to plan an outdoor event in Zimbabwe. Choosing a tent, managing weather, power supply, flooring, lighting and logistics for garden weddings and open-air events.

Why outdoor events work in Zimbabwe

Zimbabwe's climate is one of its greatest assets for events. The dry season (May to October) offers warm days, cool evenings and predictable weather — ideal for outdoor weddings, garden parties and open-air corporate events. Even in Harare's suburbs, you can find beautiful gardens, farm venues and estates that provide a natural backdrop with minimal decoration.

An outdoor event done well feels relaxed and spacious. But it requires more planning than an indoor event because you are supplying everything the venue does not have — shelter, seating, power, lighting and flooring.

Tent and marquee selection

Unless your event is small and the weather is guaranteed, you will need a tent or marquee. A frame marquee gives the best look — no centre poles, clean lines, and you can add draping, chandeliers and a dance floor inside. For larger, less formal events, a peg-and-pole tent is more affordable.

See our tent and marquee hire guide for detailed advice on sizes, types and ground requirements.

Power and lighting

Most outdoor venues do not have sufficient power for a full event setup. You will likely need a generator for lighting, sound equipment, catering appliances and charging stations. Make sure the generator is positioned far enough from the event area that noise is not an issue — and that there is fuel for the entire duration of the event.

For lighting, plan for both decorative (fairy lights, chandeliers, uplighters) and functional (pathway lights, kitchen area lights, bathroom lights). Once the sun goes down, your guests need to see where they are going. Our event lighting guide covers all the options in detail.

Flooring and surfaces

Grass looks lovely but creates problems in heels, wheelchair access, and if it rains. Consider a raised floor or interlocking tiles for the dance floor and main walkways. Carpet or matting under the tent gives a cleaner, more finished look and prevents chairs from sinking.

For the aisle at an outdoor ceremony, a runner or carpet over the grass keeps things neat and prevents tripping.

Weather contingency

Even in the dry season, unexpected showers can occur. Have a plan:

— Tent with side walls ready to close if wind or rain picks up
— Waterproof covering over the catering and service areas
— A covered path or umbrellas between the ceremony and reception areas
— Avoid placing electronics and sound equipment in exposed positions

During the rainy season (November to March), outdoor events are riskier. If you must host outdoors during this period, a fully enclosed marquee with guttering and a solid floor is essential.

Logistics checklist

Before confirming an outdoor venue, check:

— Vehicle access for delivery trucks
— Ground condition (level, firm, not waterlogged)
— Proximity to toilets (or arrange portable toilets)
— Noise restrictions from neighbours or local authorities
— Shade for daytime events (especially for guests waiting before the ceremony)
— Insect management for evening events (citronella, mosquito coils)
— Parking for guests
— Security if the venue is remote

Your equipment hire company should be able to advise on many of these based on experience with the specific venue. For a complete event timeline, see our event planning checklist. Ready to start planning? Browse our catalogue or request a quote.
